Privacy Policy

This policy explains what information Pro Line Service and its operating companies, including Earth Tech Services LLC of Mesa, Arizona, which runs the Site and the App (together, “Pro Line”, “we” or “us”), collect, why, and what we do with it. It covers:
- our public website at prolineservice.org and its forms (the “Site”), and
- our invite-only business application at app.prolineservice.org (the “App”), including its connection to QuickBooks Online.
The short version: we collect only what we need to answer bid requests and run our own business. We do not sell personal information, we do not use it for advertising, and we do not use advertising or tracking cookies.
1. Information you send us on the Site
When you use a form on the Site we receive what you type into it:
- Bid request form: your name, company, email, phone (optional), project name and location, bid due date, scope of work and any note you add.
- Prequalification packet request: your work email.
We use it to answer your request: to prepare a bid, send you our prequalification packet, or follow up about the job. It is saved as a bid request in our App and emailed to our estimating team. We keep it as part of our business records.
2. Information collected automatically on the Site
- Your IP address, which your browser sends with every request. We use it briefly to limit how many forms can be sent from one connection (to stop spam). We do not save it with your request.
- Server logs. Our hosting provider records basic technical information (such as IP address, browser type, the page requested and the time) to run and secure the service, under its own privacy terms.
- No tracking. The Site does not use analytics, advertising or social-media tracking tools, and it does not set cookies for those purposes. The fonts on the Site are served from our own host, so no font service sees your visit.
3. The App (app.prolineservice.org)
The App is a private tool for Pro Line’s own staff and the people we invite (for example an accountant or bonding agent). There is no public sign-up. In the App we hold:
- Account information: each user’s name, email address, role and which of our companies they can see. Passwords are passed straight to our sign-in provider, which stores them only in scrambled (hashed) form; we never store or read them.
- Business records: the general contractors we work for and their contacts, projects, contracts, change orders, pay applications, retention, lien deadlines, documents and bid requests.
- An audit log of every change: who made it, when, and what it was before and after. It protects the accuracy of our records.
- Sign-in cookies. The App uses cookies only to keep you signed in. They are necessary for it to work and are not used for tracking or advertising.
4. QuickBooks Online
One of our authorized administrators may connect the App to our own QuickBooks Online company file, through Intuit’s sign-in and permission screen. When connected:
- What we read: customers, invoices, estimates, accounts-receivable aging and job costs from our QuickBooks company.
- What we write: the App may only create an invoice or update an existing invoice, and only for our own jobs. It never deletes invoices and never changes payments, customers, items or the chart of accounts. Every write is recorded in the audit log.
- Why: to keep our billing, receivables and job records in the App matching our books. We use QuickBooks data only to run Pro Line’s own business. We do not sell it, share it with anyone for their own use, or use it for advertising.
- Connection keys from Intuit are stored encrypted and are never shown to users or sent to a browser.
- Disconnecting: an administrator can disconnect in the App, or in QuickBooks under the apps connected to the company. When the App is disconnected we delete its stored connection keys and stop reading from or writing to QuickBooks. Records already copied into the App stay part of our business records.

5. Who else handles the information
We use a small number of service providers that process information for us, under their own security and privacy terms:
- Vercel — hosts the Site and the App.
- Supabase — our database and sign-in service, where Site form submissions and App records are stored (in the United States).
- Resend — sends email from the Site and the App (for example the alert about a new bid request, and App invitations).
- Microsoft 365 — our company email, where those alerts arrive.
- Intuit (QuickBooks Online) — only when connected, as described above.
We may also share information if the law requires it, to protect our rights or safety or those of others, or as part of a sale or reorganization of our business, in which case this policy continues to apply to it. We do not sell personal information or share it for advertising.
6. How long we keep it
We keep bid requests and App records for as long as we need them to run our business and to meet legal, accounting, tax, lien and contract obligations. Construction and financial records often need to be kept for several years. Records in the App are marked as removed rather than erased, so the history of our books stays complete.
7. Security
Information travels over encrypted connections (HTTPS). In the App, access is limited by role and by company, and those limits are enforced in the database itself, not only on screen. Every change is logged. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as the law requires.
8. Your choices
You can ask us what information we have about you, ask us to correct it, or ask us to delete it or stop using it. Email us at the address below. We will answer within 30 days. Where we must keep a record for legal or accounting reasons, we will tell you, and we will stop using it for anything else.
9. Children
The Site and the App are for businesses and are not meant for children. We do not knowingly collect information from anyone under 16.
10. Changes to this policy
If we change this policy we will post the new version here with a new “Last updated” date. If a change is significant, we will also tell App users by email.
